The Role
To support the Sales Production Operations Finance Projects & Marketing teams in an administrative capacity.
To coordinate and assist the Sales Production Operations Finance Projetcts Marketing teams activities focusing on the groups products and services.
Job Summary/Responsibilities:
Accurate and timely distribution and processing of sales contracts and raising purchase orders.
Accurate and timely management of invoicing for all contracted bookings; Managing vendors suppliers and contractors.
Accurate and timely reports creation generation and maintenance as required.
To maintain a complete and accurate exhibitor list budget/invoice tracker speaker tracker Tasks tracker and updates.
Accurate and timely circulation of exhibitor list and relevant trackers to appropriate contacts for verification.
Effective coordination of information to appropriate departments both internal and external.
Coordination & Administration
To be the contact for general enquiries on behalf of the sales team should any/all members be unavailable.
Build operational implementation plans and ensure adherence to deadlines; Coordinate timely and accurate exhibitor list and relevant trackers to relevant key resource persons using project & work management and collaboration tools & apps (Smartsheet/JIRA/ServiceNow and any similar tool/app).
Be responsible for the collection and collation of sales contracts vendor & speaker contracts and invoices and ensure all tracking is in place (as per Informa guidelines).
Maintain a master exhibitors list and relevant trackers containing accurate complete and current details.
To be able to share any leads for the sales team to upsell and/or sell existing products if required.
Enter such sales leads / contacts accurately and in a timely fashion into the CMS (Salesforce/SAP Invoicing).
Enter vendor information and raise purchase orders into the billing system (EFS/SAP).
Regular interaction with the accounts department to maintain accurate invoicing process and control.
To liaise and update members of the sales team/group director as to payment status.
Liaise with credit control and chase payments if necessary.
Provide revenue report per event product or as required by the sales team/group director.
Must be able to anticipate project needs discern work priorities and meet deadlines with little supervision.
Manage multiple projects at the same time and meet deadlines.
Willing to work overtime or weekends if needed.
To assist on site when and where required maximum three (3) months onsite support on each event.
Qualifications :
Educated to secondary standard (GCE O Level/GCSE) or equivalent.
Background Knowledge Skills & Experience.
Essential
12 years experience in a support role were working accurately and to deadlines is a prerequisite.
Strong administrative experience in a cross functional environment.
Excellent telephone and electronic mail manner.
Proficient in the use of MS Office including intermediate/advanced PowerPoint Word Excel Outlook and Adobe Acrobat.
Attention to detail.
Demonstrate fluency in written and spoken English.
