Major Tasks
Role & Responsibilities
Operational Oversight:
- Lead the operational planning and execution of the cultural assets development projects ensuring that timelines budgets and key milestones are met.
- Oversee all aspects of infrastructure development including construction design and technology implementation working closely with architects contractors and consultants.
- Develop and implement operational workflows to integrate the museums and library functions during the development phase ensuring alignment with the longterm vision of the institutions.
- Coordinate crossfunctional project teams including curators librarians archivists digitization specialists and administrative staff.
Operational Systems and Frameworks:
- Design and implement operational systems to support the functioning of the cultural assets including frameworks for visitor management security facilities maintenance and administrative workflows.
- Develop protocols for daytoday operations ensuring alignment with the unique needs of each department (e.g. exhibition logistics library services and collection care).
- Establish operational policies such as access controls emergency response plans and maintenance schedules to ensure smooth operations postdevelopment.
- Work with the Curation and Design Team to ensure operational needs (e.g. storage solutions IT systems) are integrated into the facility plans and construction processes.
Logistics and Resource Management:
- Oversee the procurement and logistics for operational equipment noncollection resources and technology systems required during the development phase.
- Coordinate the setup of shared workspaces storage solutions and administrative offices to support all teams during the development phase.
- Ensure that all operational resources are effectively allocated and tracked including furniture equipment and technology.
- Support logistics for the movement or temporary storage of noncollection items needed for the operational readiness of the museums and library.
Stakeholder Coordination and Communication:
- Serve as the primary point of contact for operational matters ensuring effective communication and coordination between peer departments and external stakeholders.
- Collaborate with the Curation and Design Team to ensure that operational systems and workflows are compatible with the spatial and infrastructure plans.
- Partner with the Content and Collection Team to ensure operational policies support secure and efficient collection handling (e.g. transport storage).
- Work with the Specialized Library Team to address operational needs specific to library services such as IT systems for cataloging and visitor management.
- Provide regular progress reports to the Boards highlighting key milestones challenges and recommendations.
Budgeting and Financial Oversight
- Develop and manage the operational budget for the development phase ensuring efficient use of resources and adherence to financial goals.
- Oversee procurement processes for operational needs ensuring compliance with the Foundations policies and negotiating costeffective contracts with vendors and service providers.
- Provide regular financial updates and reports to the Foundation Boards regarding operational expenditures and resource allocation.
Qualifications Required
Bachelors degree in operations management Business Administration Project Management or a related field. A masters degree is preferred.
