Summary
The HR Specialist is a fundamental and core role within the HR department and is responsible for the key activities required to support all stakeholders. The responsibilities and duties are all aligned with giving accurate and timely advice to all site employees. This role is to assess anticipate and support all HRrelated needs within the organization in line with the standardized agreed processes and regulations.
Note: This position requires work during summer vacation after hours and weekend hours at peak times
Position Duties
The successful candidate will be expected to:
- Demonstrate a commitment to the safety and security of children and young people (child protection).
- Acquire and maintain a working knowledge of ISG District organization policies practices and procedures.
- Demonstrate the ability to handle and process confidential data and matters.
- Demonstrate the ability to accurately convey specialized information and data.
- Provide administrative support across defined HR Function.
- Manage ISG health insurance for International and Saudi employees ensuring seamless coverage for all beneficiaries:
- Collect and process required data to accurately complete enrollment and cancellation forms for employees and their dependents.
- Maintain uptodate records and promptly notify the insurance company of any changes including new dependents births or terminations of employment.
- Follow up on insurance claims submitted by employees ensuring timely resolution and addressing any concerns.
- Organize informative presentations for all ISG schools to educate employees and their dependents about the insurance plan benefits and claims procedures.
- Maintain consistent communication and collaboration with insurance brokers to address any issues and ensure optimal service for all beneficiaries.
- Prepare drafts of all legal and nonlegal employment documents (Offer Letters Employment Agreements etc accurately and according to information and standard operating procedure requirements within 24 hours of receiving a request containing all required information.
- Prepare and issue official letters requested by the employees (Visa Letters Bank Letters etc).
- Administer yearly contract renewals for international dependents and Saudi hires accurately and in a timely manner (coshare).
- Distribute and/or collect required employment and personnel documents from prospective and new Saudi employees and hiring teams according to HR best practices and standard operating procedure to ensure complete files.
- Prepare complete and actively maintain digital (electronic) and physical personnel files for Saudi employees according to department file requirements and standard operating procedures.
- Coordinate and conduct verbal offer and benefit consultations with all Saudi National prospective employees as part of their offer evaluation process.
- Communicate proactively succinctly and effectively with all stakeholders and prospective employees during the new Saudi hires onboarding process.
- Proactively communicate and collaborate with the HR Employee Relations Team and other district departments (Sites Support Services Tech Support Finance ect.) as needed to facilitate a smooth onboarding process for all Saudi employees as per established recruitment and onboarding process procedures.
- Communicate proactively with management regarding the success and failure of the recruiting and onboarding process.
- Establish employee profile in Skyward request ISG Google account and authorize employee security badge.
- Maintain (add/update/delete) internal spreadsheet tools accurately and according to department standards
- Prepare welcome packs for new Saudi employees.
- Proactively followup on deliverables owed and items due.
Perform other duties assigned by your administrator and or manager.
Qualifications and Knowledge
The ideal candidate will have:
- Minimum of bachelors degree in a related field of study Business or HR Related.
- Sound knowledge of HR best practices.
- General understanding of HR Policies and Regulations.
Experience and Skills
The ideal candidate will have:
Experience
- Minimum of two years experience working within an HR Role.
- Previous experience in a support coordination facilitation and customer service role.
Skills
- Excellent command of English and Arabic both verbal and written.
- Excellent computer literacy (Google Suite Microsoft Office).
