Roles and responsibilities

  • This position is under the Security Excellence that manages all Security related Documents, Data Management and Document Control functions.
  • This position will provide support for any role in the Security Excellence Document Control and Administration in an efficient manner while maintaining effective communication with the external and internal stakeholders.
  • This position is expected to supervise intermediate level full work processes and will work with the process throughout with a team.
  • This position could step up in the absence of the Department Manager.

Job Responsibilities:

Strategic Contribution

  • Assist with the implementation of the annual business plan and targets and execute the strategic agenda of the Security Center of Excellence function to deliver RSG vision and mission.
  • Support in the implementation of the Security Department Document Control Plan.
  • Support in maintaining compliance with all applicable RSG policies, procedures, and standards.
  • Support in development of RSG Security Department Policies, Forms, Procedures and Practices that adheres to the RSG standards.

Budget

  • Support in the preparation of annual departmental budget including the development of effort hour estimates and the associated staffing plan, and adherence to budget ensuring capitalizing on opportunities for continuous improvement and waste elimination.

Security

  • Support in Managing all aspects of a project life cycle including developing a detailed plan, tracking, managing, and communicating documents status.
  • Contribute to, promote, and ensure effective knowledge sharing behaviors in the use of RSG’s knowledge management portals and communities.
  • Responsible for electronic receipt, recording, tracking reporting, and disposition of Security-related
  • documents in a timely manner.
  • Perform basic Document Control and Administration problem solving, duties, and analytic tasks.
  • Interface with internal and external stakeholders in the organization.
  • Support and provide analysis of the department standard reports.
  • Analyze and make independent recommendations regarding solutions to problems with varying complexity in accordance with department and/or team objectives and guidelines.
  • Collaborate with other functions/disciplines relative to all aspects of the Department Document & Data Management.
  • Apply knowledge of project management, understanding documentation baseline, cost and schedule
  • Apply strong knowledge of engineering, procurement, contracts, and construction documentation and nomenclature.
  • Analyze situations, identify, and forecast pertinent problems and evaluate realistic options; and
  • recommend/implement appropriate course of action.

Desired candidate profile

  • Bachelor’s degree or global equivalent in applicable field of study.
  • Minimum six (6) of work-related experience.
  • Relevant experience at managing multiple, diverse projects in Middle East required.
  • Ability to communicate effectively with audiences that include but are not limited to management, coworkers, vendors, contractors, and other stakeholders.
  • Thorough, working knowledge of and experience with computers such as Microsoft Suites, spreadsheets, internet, and document management systems.
  • Excellent troubleshooting, problem resolution, and decision-making skills.
  • Experience working with senior management.
  • Strong organizational skills, judgment, and flexibility.
  • Demonstrated skills in collaboration, teamwork, and problem-solving to achieve goals.
  • Ability to adhere to Company policies, procedures, guidelines, and work requirements.
  • Ability to adapt to change, to work under pressure, and manage and prioritize multiple tasks.
  • Ability to read and follow written and verbal instructions.
