Job Summary
The Administrative Coordinator is responsible for playing an important role in managing the daytoday administrative affairs of the College. The employee is responsible for managing class attendance assisting course instructors with managing inclass activities and generating class attendance and participation reports for instructors. The coordinators are expected to work independently as well as part of a team to manage and proctor exams and attend to other administrative duties assigned by the line manager related to college such as registration orientation graduation open house and school visits.
Primary Duties & Responsibilities
- Ensures that examinations are carried out in accordance with Alfaisal University regulations and to provide students with a positive and supportive yet strict exam experience.
- Attends assigned classes from start till the end to takes attendance of the students at the beginning of the lectures then provide the faculty with daily student reports.
- Prepares and assists professors/instructors with the preparation of the exam hall and other exam rooms to ensure rooms meet Alfaisal University exam requirements.
- Helps the course instructor organize group discussions and distribute class notes/case studies as necessary.
- Receives exams and printing them out for students and ensures all examination papers are delivered and collected safely from the students.
- Monitors classes and students to ensure students are aware about exam conditions retrieve mobile phones check ID set the tone and ensure students enter quietly also monitors the students who are taking the exam alone.
- Takes Attendance of the students at the beginning of the lectures and provides the faculty with daily student reports.
- Develop and maintain a filling system. As well as order supplies when needed for faculty and staff.
- Coordinate and give orientation for CoL newly hired employees. Assist students visitors with any inquiry needed.
- Builds weekly/monthly reports on attendance data using student database systems and Microsoft Excel to analyze data and provide feedback.
- Assists and coordinates with all administrative requests and queries from reporting manager also coordinate for meetings.
- Updates the faculty with the students behaviors in the class according to Alfaisal policy and procedure.
- Communicates with Information Technology and Facility department to ensure that the class is equipped and prepared.
- Performs all duties in a professional effective and confidential manner.
- Performs all other related duties as required or assigned by the manager.
Education & Experience
- Diploma or bachelors degree in Business Administration Marketing Human Resources or equivalent from an accredited university.
- Minimum of two (2) years experience in clerical task or related fields. For bachelors degree no experience required.
