VEHICLE FLEET COORDINATOR

Job Summary:

We are looking for two dedicated and detailoriented Vehicle Fleet Coordinators to

manage our fleet of small vehicles and trucks. These positions will be responsible for

tracking vehicle usage ensuring compliance with all regulations and maintaining

accurate records. The ideal candidates will have excellent organizational skills and a

keen eye for detail ensuring our fleet operates smoothly and efficiently.

Key Responsibilities:

1. Daily Operations:

Track daily trips of small vehicles and trucks including start and end times.

Monitor the duration of each trip and ensure optimal routing.

Follow up on the Bayan Traffic Police reports and ensure compliance.

2. Vehicle Maintenance:

Conduct regular checkups for small vehicles and trucks.

Ensure timely renewal of operation cards for each truck annually.

Track and manage gas allowances for all vehicles.

3. Documentation and Compliance:

Maintain and update all documentation related to each vehicle including

insurance tickets and driver licenses.

Ensure the renewal of all relevant documents in a timely manner.

Follow up on all speed tickets making complaints when necessary.

4. Regulatory Compliance:

Stay updated with new rules and regulations from the Ministry of

Transportation.

Implement new standards from the Authority of Standard and Customization.

Ensure adherence to all traffic rules and regulations.

5. Reporting:

Prepare and present weekly analysis reports on vehicle movements.

Track and analyze vehicle usage patterns and provide recommendations for

improvements.

6. Vehicle Handover and Communication:

Hand over vehicles to employees ensuring proper documentation and

condition checks.

Communicate regularly with employees to monitor vehicle conditions.

Serve as the primary contact for any issues related to vehicles including

accidents and maintenance.

Keep detailed records of all incidents and maintenance activities.

Receiving the vehicles in case of any clearance ensuring the condition and

doing the checkup.

Requirements:

High school diploma or equivalent; additional qualifications in logistics or

transportation management are a plus.

Proven experience in fleet management or a related role.

Strong organizational and multitasking abilities.

Excellent communication and interpersonal skills.

Computer proficiency and MS Office Suite.

Valid drivers license is a plus.

Knowledge of local traffic laws and regulations.

Skills:

Detailoriented with strong analytical skills.

Ability to work under pressure and meet deadlines.

Strong problemsolving capabilities.

Ability to manage and track multiple tasks simultaneously.

Job Type: Fulltime
