Key Responsibilities:
Have a thorough understanding of EY’s records management policy and procedures
Handle, file, and retrieve records in a timely manner, both on and off-site (e.g physical work in the filing room is necessary)
Confirm records are inventoried, stored, archived, retrieved, preserved and handled appropriately, and to give litigation support when required
Track and safeguard records under the Records Center’s control, by efficiently coordinating the transfer of records to off-site storage
Confirm compliance with records management policies and procedures, and secure disposition guidelines
Provide knowledge and guidance, to help protect EY assets through a safe, functional and productive work environment
Coordinate the annual retention compliance review process, working closely with the RML
Preserve and maintains records affected by litigation, partner, and/or administrative holds
Provide work direction, and clarify organizational procedures to other Enterprise Support Services (ESS) staff members and client facing employees
Inform Records management leader of issues that have an impact on records center compliance and report any instances of non-compliance with policy or procedures
Maintain good relationship with local off-site vendor representatives
May help to train new records administrators on record management procedures and systems
The position holder will perform other responsibilities and tasks as required to achieve the agreed performance outcomes.
Skills & attributes for success:
GCE N / O Level
Approximately 1-2 years of relevant experience or familiarity with a professional services firm environment; fresh graduates will also be considered
Ability to manage multiple and sometimes competing priorities
Meticulous attention to detail including maintaining confidentiality at all times
Strong written and verbal communication skills
Excellent interpersonal skills and the ability to effectively interface with personnel at all levels
Ability to work independently, and as part of a team sharing knowledge and best practice
Intermediate computer skills (MS office, EY tools and records management database)
Good to Haves:
Knowledge of automated records management systems
Moderate to heavy lifting/moving
Must be available for overtime as required, particularly during the months of peak season
Able to travel to off-site vendor storage for destruction activity
