We are hiring for your skills to coordinate, supervise & maintain confidentiality in managing and handling data in E-Docs or filing system, categorize & maintain hardcopy and softcopy records and to liaise with sensitive correspondence to provide accurate employee related details. Supporting team lead in managing project improvements to be implemented in filing process, analyzing and updating accurate data in HRMS and to be able to provide report/updates from document trackers. At the same time, ensuring employee documents are promptly scanned in E-doc system and archive in hard file in order to have a proper updated employee records that can be retrieve at all times. Other operational duties would include: • Support the team in coordinating and distribution of operational filing task. • Understand document content and accurately classify to scan documents in to correct categorized folders in E- docs system pertaining to employees. • Critical in providing accurate information when servicing data information request to authenticated business requestors. • Support team leader to implement changes, able to challenge for changes and development of new ideas to improve the existing filing process. • Proficient in analyzing data extracted from report sources to track pending or completion of work task by the team. • Proficient in using system or tools to enter data in Oracle HRMS, automation SMA workflow and etc. • Digitizing documents and maintaining documents in organize manner. • Generation of reports using GEMS, Oracle HRMS to source data into trackers which is use information report to follow-up with Stakeholders. • Able to represent the team in Emergency Response related matters when appointed. • Able to communicate and coordinate efficiently in getting system errors fix by IT or with Facilities Management on office matters. • Perform other filing support duties related to the position as directed by the Management. • Ensure compliance with systems and processes to create effective and efficient environment to manage the support functions that is in line with HR objectives and goals.
