Overall Purpose Of RoleThe Administrative Assistant is responsible for assisting with day-to-day/administrative duties for the hospital.Essential Job Duties And Responsibilities Track and assist with in-processing and out-processing personnel (PCS and TDY) File and retrieve documents and reference materials Collect data and prepare reports and documents Arrange and coordinate meetings and events Record, transcribe, and distribute minutes of meetings Monitor, screen, respond to, and distribute incoming communications Answer and manage incoming calls Receive and interact with incoming visitors Liaise with internal staff at all levels, while maintaining confidentiality Track and report facility and environmental issues Manages office inventory and equipment by performing consistent stock checks, anticipating needed supplies, placing orders for supplies Schedules maintenance for equipment service and repairs as needed. Actively participates in day-to-day office activities, including a variety of meetings and task force groups to improve procedural processes, obtain approvals, and remain abreast of new developments and policy requirements. Actively participates in Mass Casualty exercises and events. Performance of other duties as assignedExperience Required 3 years’ experience providing administrative support Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite Knowledge of standard office administrative practices and proceduresEducation Required Current American Heart Association Basic Life Support (BLS) certification. Proficiency in English both in reading and writing. Other Special Requirements On call requirements as part of a rotation if required. Ability to obtain and maintain a clearance to drive company vehicles. Must be able to read, write and speak English to effectively communicate. This position is unaccompanied. Ability to obtain a DOS mandated clearance one is required. Must be able to relocate to Doha, Qatar. A valid passport is required and must be in your possession prior to relocation. You must maintain a current passport during your stay in Qatar.
