Growing company is seeking a highly organized and detail-oriented Sales Administrative Quotation Specialist to join their dynamic sales team. In this role, you will be responsible for managing the quotation process, ensuring accuracy, and facilitating seamless communication between our sales team and clients.

Responsibilities:

  • Quotation Specialist:

    • Create and maintain accurate and competitive quotations for potential clients.

    • Review customer inquiries and specifications to develop customized quotes.

    • Ensure quotations are in line with company pricing and policies.

    • Maintain a database of standard pricing and product information.

  • Communication:

    • Act as the liaison between the sales team and customers to clarify quotation details and answer inquiries.

    • Collaborate with the sales team to gather information necessary for creating quotations.

    • Provide prompt responses to customer requests for quotes, modifications, or clarifications.

  • Documentation and Record Keeping:

    • Maintain organized records of all quotations, including revisions and communications.

    • Update and manage the CRM system with accurate and up-to-date customer information.

    • Generate reports on quotation activities and conversion rates.

  • Follow-Up:

    • Proactively follow up on quotations to understand the status of pending deals.

    • Support the sales team in tracking and managing sales leads.

    • Assist in developing strategies to convert quotations into sales orders.

  • Process Improvement:

    • Identify areas for process improvement in the quotation process and propose solutions.

    • Collaborate with cross-functional teams to streamline and enhance the quotation process.


Requirements

Qualifications:

  • Bachelors degree in Business Administration, Sales, or a related field is preferred.

  • Proven experience in a sales administrative or quotation specialist role is advantageous.

  • Strong proficiency, particularly Excel.

  • Exceptional attention to detail and accuracy in data entry and record-keeping.

  • Excellent written and verbal communication skills.

  • Ability to work independently, multitask, and meet deadlines.

  • A customer-focused mindset with a commitment to providing high-quality service.



Proficient in Microsoft Word, Excel, PowerPoint and Outlook Familiarity with database reporting programs Performance, creativity, problem solving and results Familiarity with Adobe software packages of Acrobat, Illustrator, Photoshop, Publisher, and paint Experience supporting a sales team helpful 1 3 Years Administrative experience Excellent Communication skills Strong Analytical skills Strong Presentation skills Ability to work independently and with a team College degree preferred
