Onground Event Coordinator. The OnGround Event Coordinator is responsible for the seamless execution of events ensuring all logistical aspects are managed efficiently on the event day. This role involves planning and coordinating with various stakeholders managing vendors and onsite management.
Responsibilities:
Event Planning and Coordination:
o Coordinate with central team/s markets and location POCs to understand event objectives and requirements.
o Execute the event plan as per the timelines schedules and checklists.
o Proactively source all required approvals like security workplace sez facility IT etc..
o Conduct dry run before the event day. Update central teams Markets and other concerned stakeholders on event preparations and progress
Vendor Management:
o Liaise with vendors suppliers and event managers to secure timely delivery of services and materials
o Ensure smooth entrance and exit of vendors and external attendees on the event day by securing relevant approvals and timely communication
OnSite Management:
o Act as the primary point of contact for markets vendors and event staff during the event
o Oversee onsite event logistics including setup registration attendee flow and breakdown
o Address any issues or emergencies that arise during the event ensuring a smooth and successful execution
PostEvent Activities:
o Assist in preparing postevent reports and evaluations
o Coordinate all event closure formalities

Qualifications: Skills o Excellent communication and interpersonal skills o Ability to take conscious decisions effectively collaborate and manage time o Ability to handle unexpected situations o Orientation to customer service o Able to manage multiple stakeholders with excellent project management skills and prioritize well. o Strong understanding of logistical planning and coordination principles. o Proficiency in event management software tools (e.g. Cvent) and MS office suit Experience o 35 years of experience in overall event management in IT/ITES hospitality airlines retail or other related industry o Proven experience in event planning and logistical coordination preferably in a corporate or professional setting Education o Bachelors degree in Event Management Hospitality Business Administration or a related field Additional Requirements: o Flexible to travel within base or outside location on need basis o Events may require working outside normal business hours and on weekends
