Job Summary:

The Executive Assistant / Operations Officer will play a crucial role in managing daily operations supporting the Director/Founder and ensuring smooth communication and administrative processes within the school. This role requires a highly organized and proactive individual with excellent multitasking abilities strong bilingual communication skills and the capability to work effectively under pressure.

Key Responsibilities:

  • Provide executive support to the Director/Founder including managing calendars scheduling meetings and coordinating communications.
  • Draft review and send professional emails and letters in both English and Arabic on behalf of the Director/Founder.
  • Attend different meetings and create minutes of meetings assign action points and followup.
  • Respond to calls emails and other correspondence in a timely manner including afterhours as necessary.

Operations Management:

  • Oversee daily operational tasks and ensure the efficient management of school activities.
  • Manage basic project management tasks including planning execution and monitoring of various projects.
  • Handle procurement processes including sourcing negotiating and purchasing supplies and services.

Travel and Event Coordination:

  • Arrange and coordinate travel logistics including flight bookings hotel reservations and visa applications.
  • Organize and manage school events meetings and other activities ensuring all details are addressed.

Communication and Digital Adaptation:

  • Maintain effective communication with staff parents and external stakeholders.
  • Adapt to and support digital transformation initiatives including the implementation of new technologies and systems.
  • Prepare and manage documentation related to school operations and communications leveraging digital tools for efficiency.

Multitasking and Pressure Management:

  • Effectively balance multiple tasks and responsibilities.
  • Adapt to changing priorities and work efficiently under pressure to meet deadlines.

About You:

  • Experience in a similar admissions or administrative role ideally within an educational setting
  • Excellent communication and interpersonal skills with the ability to build relationships with parents students and staff
  • Strong organizational skills and attention to detail
  • Proficient in using databases and MS Office
  • Ability to manage multiple tasks and work effectively under pressure
  • A proactive positive and flexible approach to work
  • Passionate about education and committed to supporting students and families

Education:

  • Bachelors degree in Business Administration Management or a related field.

Experience:

  • Minimum of 5 years experience in an administrative or operations role.

Skills:

  • Bilingual proficiency in English and Arabic (both written and spoken).
  • Strong communication skills with experience in drafting professional correspondence.
  • Basic project management and procurement skills.
  • Proficiency in office software (e.g. Microsoft Office Suite Google Workspace) and adaptability to new digital tools and systems.
  • Smart proactive and capable of managing digital transformation initiatives.
  • Ability to handle confidential information with discretion.
  • Strong organizational skills and attention to detail.

Working Conditions:

  • Fulltime position with occasional afterhours availability for calls and emails.
  • Ability to work in a fastpaced environment and manage multiple priorities effectively.

Context

The British School of Kuwait (BSK) traces its origins to 1978 when Madam Vera AlMutawa MBE and Mr Sadiq AlMutawa established a small kindergarten which became known as The Sunshine School.

Steady growth took place through the 1980s and having recovered from the disruption of the 1990 invasion of Kuwait by 1992 the school accommodated 550 Kindergarten and Primary age students. The decision having been made to serve the community at both Primary and Secondary levels a move to the present site in Salwa took place and in September 1993 newly renamed The British School of Kuwait opened to 900 students.

BSK currently provides a quality British curriculum education to students from Reception to Year 13. Our students come from more than 70 countries and follow the National Curriculum of England through to GCSE IGCSE AS and A Level qualifications. The school provides a structured caring and happy environment for learning with excellent resourcing and a qualified highlytrained and wellmotivated staff.

BSO Accreditation

Our school has been inspected by teams from
Penta International
an inspectorate approved by the UK Department for Education (DfE) to inspect British international schools.
British Schools Overseas (BSO)
accreditation
is a voluntary inspection system monitored by the UK Office for Standards in Education (Ofsted) which informs parents of students in British international schools how well the standards in these schools measure up against the standards that apply to independent schools within Britain.
In March 2013 March 2016 May 2017 and again in March 2023 BSK was awarded
British School Overseas (BSO)
status enabling the school to mentor Early Career Teachers through their induction years. The latest
