Key Responsibilities:
Event Planning and Coordination:
- Collaborate with clients to understand their event objectives and requirements.
- Develop detailed event plans including timelines budgets and logistics.
- Coordinate with internal teams and external vendors to ensure all event elements are in place.
Event Execution:
- Oversee the setup execution and breakdown of events.
- Ensure all events run smoothly and address any issues that arise promptly.
- Manage onsite staff and volunteers to ensure efficient event operations.
Client Relations:
- Serve as the main point of contact for clients throughout the event planning process.
- Provide excellent customer service and address client needs and concerns.
- Gather client feedback postevent to ensure continuous improvement.
Budget Management:
- Develop and manage event budgets ensuring all expenses are tracked and within limits.
- Negotiate with vendors to secure the s and services.
Marketing and Promotion:
- Collaborate with the marketing team to promote events and maximize attendance.
- Utilize various channels including social media email campaigns and traditional advertising to reach target audiences.
Administrative Tasks:
- Maintain accurate records of all event details and communications.
- Prepare reports on event outcomes and performance metrics.
Qualifications:
- Bachelors degree in Event Management Hospitality Marketing or a related field.
- Proven experience in event planning and coordination preferably in the hospitality industry.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills.
- Ability to work well under pressure and manage multiple tasks simultaneously.
- Proficiency in Microsoft Office Suite and event management software.
- Flexibility to work evenings weekends and holidays as required.
