Job Description

Job Summary:

As a Front Office Executive at Adcanopus you will be the first point of contact for our company. You will manage the front desk greet visitors handle incoming calls and perform various administrative tasks to ensure the smooth operation of the office. Your role is pivotal in creating a positive and welcoming environment for clients visitors and employees.

Key Responsibilities:

  • Reception Duties:
  • Greet and welcome visitors in a professional and friendly manner.
  • Answer screen and forward incoming phone calls promptly and efficiently.
  • Provide accurate information to visitors and employees regarding the organization and its services.
  • Maintain a tidy and presentable reception area.
  • Administrative Support:
  • Manage and distribute incoming and outgoing mail and courier deliveries.
  • Maintain and update visitor logs and appointment schedules.
  • Assist with the coordination of office events meetings and conferences.
  • Prepare and distribute correspondence memos and forms.
  • Customer Service:
  • Address and resolve basic inquiries and issues from clients and visitors.
  • Ensure high levels of customer satisfaction through excellent front desk service.
  • Coordinate with various departments to address customer queries and provide accurate information.
  • Office Management:
  • Oversee office supplies inventory and place orders as necessary.
  • Maintain records and files in an organized manner.
  • Assist in managing office security by monitoring logbooks and issuing visitor badges.
  • Coordinate with housekeeping and maintenance staff to ensure a clean and functional office environment.

Qualifications and Skills:

  • Education:
  • High school diploma or equivalent required; Associate s or Bachelor s degree in Business Administration or related field preferred.
  • Experience:
  • Proven work experience as a Receptionist Front Office Representative or similar role.
  • Experience in customer service or administrative roles is highly desirable.
  • Skills:
  • Proficient in Microsoft Office Suite (Word Excel PowerPoint Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • Professional attitude and appearance.
  • Ability to be resourceful and proactive when issues arise.
