Virtual Admin Executive Assistant


  • PartTime 20 Hours

  • Phptakehome pay per month

  • 08:00 PM 12:00 AM Monday to Friday


About the Client:


Our client oversees two distinct businesses. One is a UKbased cost management company collaborating with accountants to optimize savings for their clients in utilities. They identify areas of overspending discover potential savings and switch suppliers seamlessly. The other business is a trusted Chiropractic Pillow brand delivering innovative neck and cervical pillows prioritizing comfort and wellbeing. They distinguish themselves through highquality materials and designs providing products that alleviate pain and rejuvenate. The client is also looking to acquire between one and two more businesses in the next 18 months. As the Executive Assistant youll play a crucial role in supporting the CEO in these diverse ventures.


About the Role:


The client is seeking a highly organized detailoriented and proactive Administrative Assistant to join their team and play a crucial role in streamlining their business operations. The successful candidate will be responsible for a range of administrative tasks basic marketing activities prospecting research and email and diary management. Additionally they will assist in miscellaneous personal tasks for the CEO.


Responsibilities:


  • Efficiently manage and organize emails ensuring timely responses and prioritizing important messages.

  • Send targeted and personalized emails to potential clients for meeting bookings along with meeting research and postmeeting followups. Once comfortable in the role and knowledgeable with the service offering potentially conducting cold calling activities.

  • Generate savings reports manage spreadsheets and CRM systems and share savings reports with the client.

  • Identify and flag supplier objections chase supplier payments update payments and contract information on the system and create monthly commission reports.

  • Communicate with clients for reviews through emails and calls.

  • Manage WhatsApp communication ensuring prompt responses and facilitating efficient information flow.

  • Create a monthly newsletter manage email campaigns post on social media and develop and post blogs. Additionally send targeted and personalized LinkedIn messages.

  • Curate and manage the executives reading list ensuring a wellrounded and curated

selection.

  • Plan and organize travel arrangements including bookings and appointments to ensure seamless journeys.

  • Update and maintain the food diary ensuring dietary preferences and requirements are met.


Qualifications:


  • Proven experience in administrative roles.

  • Excellent organizational and multitasking skills.

  • Exceptional proficiency in written and verbal English communication. Familiarity with British English is preferred.

  • Proven track record of maintaining a wellorganized work environment.

  • Ability to handle multiple tasks concurrently while ensuring accuracy and efficiency.

  • Meticulous attention to both visual presentation and content accuracy.

  • Demonstrated ability to produce highquality work with a keen eye for detail.

  • A proactive approach to tasks with a willingness to take the lead and drive projects forward.

  • Ability to identify opportunities for improvement and implement solutions independently.

  • A keen willingness to learn and an ability to do so quickly

  • Basic understanding of social media management.

  • Proficient in using CRM systems spreadsheets and other relevant tools.

  • Capability to adapt to an informal and casual writing style for marketing tasks.
