Our Brand Partnerships & Events Team engages with companies looking for innovative ways to utilize our spaces for safe, professional and inspiring gatherings. Whether for one day or multi-day corporate off-sites, workshops, filming shoots or networking events - our spaces are designed for collaboration, innovation, content and connection.



WeWork is seeking a NYC-based experienced, client-facing Event Coordinator for the Brand Partnerships & Events team to assist with all aspects of flawless private event activation. This role will be the main onsite point of contact to run point on all day of event needs, own all aspects of account management and event implementation in partnership with key internal stakeholders pre, during, and post event in the select NYC venues.

The right candidate will have experience in managing multiple concurrent projects, be detail-oriented and have client service experience - managing real-time needs, questions, and troubleshooting as needed. As the primary client point of contact, the Event Coordinator will be responsible for direct client interaction and for assisting with any and all needs as they arise relative to the event, as well as ensuring that their access and familiarity with their rented space is turnkey.

This position will also plan a key role in additional aspects of the Event business, including but not limited to management and routing of all inbound leads, serving as the delegated point of contact for other internal stakeholders regarding events, overseeing strategic Event and Filming aggregator relationships, managing WeWorks relationships with select third-party vendors, and thinking big picture about how to grow the Events business at WeWork long-term.

The ideal candidate is a flexible team player and a holistic, outside-the-box thinker who can own and manage various projects simultaneously.



In this role youll:





Event Management:



Liaison between Salesperson, Client and Community Teams for all sold events and filming bookings in all NYC venues.

Managing and responding to client needs in a professional and timely manner.

Overseeing day to day operations and logistics leading up to each event - including management of staffing, security, catering and AV partners and contracts, where applicable.

Conducting client tours throughout various NYC event venues on an as-needed basis.

Facilitating on-site building access for event and production clients

On site coordination for any day-of needs on behalf of the event or production booker.

Working with security and facilities teams to help navigate building access and advance setup of event space.

Following up with clients to solicit feedback and satisfaction at the conclusion of each paid event and reporting results and recommendations to Sales Director.



Filming:



Main POC for all filming inquiries in NYC, and additional markets, as needed.

Responsible for maintaining filming partnerships with third party companies in NYC - which may include confirming site tour availability with Community teams at select buildings, meeting scouts on site for select tours, managing contract and invoice process for filming shots.

Develop and iterate on SOP for how we handle film bookings at WeWork

Take ownership of film bookings and communicate monthly revenue projections to internal accounting and finance teams.



Ongoing Day-to-Day:



Responsible for the management of the departments lead flow process including the tracking and assigning inbound event leads to Brand Partnerships & Events Team and / or Community Teams.

Assist sales team with space inquiries for NYC events.

Oversee internal Event Slack channel and respond to all Community Team questions and inquiries on paid event opportunities in a timely manner.

Coordinate multiple projects and events simultaneously while maintaining professionalism and timeliness

Become an expert on all event and production venues within NYC, ensuring WeWork is able to operate them from top to bottom

Ability to move swiftly and efficiently between projects, events, and physical buildings and spaces around the market

Additional responsibilities related to events and filming as they arise.





Requirements:



3+ years of project coordination or event management experience

Experienced in customer service and client services with outstanding client service communication skills

Experienced in management process and workflow

Excellent knowledge of Salesforce, G Suite, Microsoft Suite specifically Excel, (link removed)

Organizer with a creative process and ability to problem solve

Can function well in a fast-paced environment and enjoy a challenge

You have excellent verbal and written communication skills as well as excellent attention to detail

Ability to work nights and weekends, as needed,

This is not a remote position and is based out of New York

Must be able to work as a team across a variety of departments to ensure awareness and comprehension
