Responsibilities
- Act as a liaison between Clients departments and Legal Contracts Administration to initiate renewal actions on current contracts memorandums of agreement interlocal agreements and/or licensing agreements under the supervision of leadership.
- Develop implement and maintain an accurate districtwide contract tracking and management system in Bonfire. Prepare and distribute reports and statistical data to necessary parties to facilitate planning and maintenance of accurate contract records and files.
- Ensure that proper support documentation is included with contracts submitted to OGC; including if applicable Board Action Items and minutes requisitions contract approval routing forms and/or other similar documents to facilitate internal reviews and approvals.
- Modify and clean bonfire database to ensure Bonfire information matches the contract start and end dates
- Identify contracts with spend caps and determine where we are with the spend
- Coordinate with clients/supplier on extensions renewals amendments obtain vendor performance forms. Alert Buyer and end user of steps being taken.
- Draft extensions renewals and amendments. Send to leadership for review before routing for signatures.
- Upload extensions renewals and amendments in Bonfire
- Manage contracts mailbox
- Act as point of contact with OGC
- Ensure Bonfire is configured to notify buyer and end user 6 months prior to contract end date manage the task of notifying end user and buyer that contract term is up. Leadership is also to be notified.
- Run contract roster monthly and share status with buyers/leadership
- Schedule meetings with clients/suppliers/OGC for contract related work (contract kick off meeting negotiation meetings)
- Draft and review contract as requested.
- Seek advice from legal experts and/or counsel when appropriate.
- Perform other duties tasks and assignments as assigned
