Summary
Working within a Bureau of Special Education Appeals, the Administrative Assistant performs administrative support assistant duties for a state agency that operates under court protocol. The Administrative Assistant supports the office by opening and closing cases, filing, faxing, photocopying, and scanning documents, and providing telephone coverage for the office.
Responsibilities
- Receives incoming telephone calls, and provides answers to routine inquiries i.e. providing basic protocol information to lawyers, paralegals, and pro se litigants on how to file appeals, file a continuance, status of the appeal, etc.
- Assists with receiving and responding to telephone, mail, and electronic inquiries from lawyers, paralegals, and state agencies in a courteous, efficient and professional manner.
- Communicating effectively with internal and external contacts at all levels, and across all diverse and underrepresented groups; and provides support to its magistrates on Rate Setting cases.
- Providing administrative support, including, handling correspondence, and filing, faxing, photocopying, and scanning large volumes of documents.
- Processing incoming and outgoing mail, sorting, stamping, and distributing mail.

Requirement
- Applicants must possess strong writing, communication, and organizational skills, including proficiency with Microsoft Office, specifically Excel and Word; strong attention to detail; and the ability to work independently, as well as part of a team. A strong work ethic and sound judgment are essential.
- High School diploma or the equivalent and four years of secretarial, administrative experience, or an equivalent of a combination of education and experience. A background as a legal assistant, paralegal, or court employee is preferred but not required.
